EXCOM Teleconference Meeting Notes

Attending: Eric Knudsen, Julie Henning, Keith Underwood

Eric announced that the chapter is looking for nominations for Vice President.  We have two candidates for Assistant Newsletter Editor.

Julie discussed the difficulties with doing the Chapter’s taxes and filing with the IRS.  She doesn’t have any IRS records of the past to refer to.  She has contacted the Parent Society and the Oregon Chapter about tax questions.  The Oregon Chapter said they would send her the last years tax documents to use as an example.  Eric and Keith were in agreement that Julie could make an appointment with a tax accountant to do NPICs taxes.

The AGM 2008 budget was discussed.  We didn’t do as well with profits this year but we had more participation.  Also, we gave away folders as gifts to the participates and had many benefits for students including student registration waivers and awards.  Julie will give a breakdown of the profits and expenses at the next conference call.  It was mentioned that we could do a better job with future planning of the AGMs.

Keith volunteered to work on the Chapter bylaws.  Keith will provide comments of the bylaws and include edits on language that needs to be changed.   Eric suggested keeping the language simple in the bylaws and using the procedures to get more specific on issues.

Eric proposed that the Chapter pay for any ExCom members to attend the Western Division Meeting in Portland if they don’t have outside funding.  Keith and Julie were supportive of this proposal.

We made an executive decision to pay for a booth at the Western Division Meeting.  This booth will advertise the 2009 AGM and the 2011 National Meeting.  Eric asked that we have someone at the booth to promote our Chapter and the upcoming meetings.  The cost will be either $500 or $800 for the booth.

We made an executive decision to start a separate checking account for the genetics conference that we are co-chairing with WDFW.  Todd Kassler and Julie will be co-signers of that account.  Also, NPIC deposited $500 into that account to cover initial cash flow issues that may arise.
