EXCOM Teleconference Meeting Minutes – FINAL

October 12, 2010

Attending: Mark Pedersen, Lisa Harlan, Mark Celedonia, Orlay Johnson, Yvonne Muirhead, Nicole Casper.

Minutes:  The motion was made, seconded and passed to approve the minutes for Aug 17th and September 7th, 2010.

Officer Reports

President – Mark Pedersen: Mark is preparing for the Pacific Marine Expo and is involved in an ad hoc committee.  He is looking into a conferencing service for future teleconferences.

Past President – Jim Shannon: No report.

President Elect – Mark Celedonia:  Mark has looked at using of Doodlepolls or Surveymonkeys for use in organizing meetings.  At this point he recommends Surveymonkey for surveys and Doodlepolls for scheduling meetings.  He sent his comments on Rules and Procedures to Mark P, using Google docs.

Vice President – Yvonne Muirhead: Yvonne is working on trying to find a bookkeeper for filing the chapter tax return as a non-profit.  Eric Knudsen suggested contacting Julie Henning, past Treasurer, for advice.  Yvonne will send to Excom the standards for Canadian Applied Biologists as compared to the AFS Professional Fisheries Biologist standards to Excom.

Treasurer – Erin Lowry: No report.

Communications Officer – Orlay Johnson: Orlay is getting the fall newsletter ready to send out.  In this newsletter he would like to request submittals from membership sharing what research they’re working on.  Excom agreed that would be a great idea.  Action: Nicole will send in short summary of student activities and fisheries research at a couple of universities.  Another suggestion for the newsletters is to do a spotlight on one or two members.  Excom should send in short officer reports as desired.

Secretary – Lisa Harlan: Lisa looked at several AFS chapter websites to see if there are aspects we want to incorporate into our website.  She sent around a spreadsheet detailing how the websites compared.  Action: Lisa will follow up with Bryan Bougher regarding options for online archiving of chapter documents.

Student Sub-unit Representative – Nicole Casper: Nicole was in touch with Meryl Mims regarding UW subunit activities. Meryl will be in touch again after their subunit meets next week to plan this year’s activities.  Meryl has focused on two areas – AFS support for UW-SAFS activities and AFS support for the AFS subunit activities.  Chapter support of  food and drink for events in the Fisheries Dept is very successful in recruiting new participants.  There will be an event coming up in October, which the chapter supported last year with food and drink.  There was also a Fisheries Trivia night and fund-raiser to send students to Nanaimo last year.  The student sub-unit also partnered to clean-up Lake Union last spring.  These events or something similar will occur this year; Nicole will likely request funds for food and drink again.  Action: Yvonne (and Mark C) will send a student list to Nicole.  Orlay will send 2 names of tribal students to Nicole.
