EXCOM Teleconference Minutes – FINAL

Role call: Mark Pedersen, Mark Celedonia, Nicole Casper, Orlay Johnson, Lisa Harlan, Jim Shannon
Absent: Yvonne Muirhead, Erin Lowry
Minutes: Approved minutes for December 14th, 2010.
Officer Reports
President – Mark Pedersen: working with Eric on 2011 fundraising looking at 16 possible sponsors, completed draft of 2011 AGM MOU. Continues to work on the Chapter Rules and Procedures, and website update. Priorities this month are to activate the Chapter Committees. Action: All Excom go to Google docs and fill in Chapter Rules and Procedures.
President Elect – Mark Celedonia: Continue to work on Seattle meeting duties. Working on organizing a symposium for the conference.
Student Sub-Unit Representative – Nicole Casper: Went to UW student chapter meeting. Trivia night on Jan 20th. Have a great website, which Nicole will send to us. UW chapter would like to sell T-shirts at Seattle as a fund-raiser. Jim will connect Nicole with Seattle folks working on the T-shirts. Working on starting a Western Wash student group. Sent an email to all science students. Getting a lot of interest from students and faculty, including someone interested in being faculty advisor. Will work on setting up a meeting/fund-raiser event.
Vice President – Yvonne Muirhead: Present. Can hear us but we couldn’t hear her.
Past President – Jim Shannon: Working on the Spawning Run. Helping with WDAFS Snake River committee updating resolution put out about 10 years ago. Looking for people to fill empty positons – treasurer, student rep, vice-president. Will send out an announcement to the listserve. Should start to aim for another Newsletter.
Treasurer – Erin Lowry: Not present.
Secretary – Lisa Harlan: Lisa contacted Keith Underwood regarding getting the boxes to be archived from him. He is coordinating with Mark Pedersen to arrange an exchange. She also contacted Bryan Bougher regarding the status with changing the website host. He is still waiting to receive proof of non-profit status documents from Erin Lowry. She has been doing some work for the 2011 Social Responsibility committee, writing a 1-pager to go into the upcoming issue of Fisheries.
Communications Officer– Orlay Johnson: Working on 2 symposia for the conference. Adding UW’s student website as a link on our website. Working toward doing a newsletter in March. Has talked to a few people about website hosting, will visit Bryan in the next week or two.
Old Business:
Action: Mark P will assist Nicole in finding out if the student chapters can use the chapter or Parent Society’s tax ID for their bank account. Mark will work with Erin on this.
Action: Excom – Nicole would like suggestions for organizations to raise funds for at the kick-off event in February.
Action: Yvonne will send the draft MOU for co-convening with SER for 2012 to Excom for review and feedback.
Action: Excom – Jim would like suggestions for possible candidates for the open Excom position elections.
Action: Mark P will send out a draft budget to everyone on Excom for review and feedback.
Action: Archives – Mark P has been sorting through the archive boxes and has pared it down to 1 box, which is stored at UW storage locker.
Action: Excom – Provide comments to Mark P on the 5-yr Strategic Plan.

Action: Lisa will talk to Bryan Bougher about the website host. He still needs proof of non-profit status.
Action: Orlay will research options for website developers.
New Business:
UW subunit Trivia Night will be on 1/20.
Schedule a time/place for our 2011 Chapter business meeting: Variety of meeting rooms available – Mark C just needs to know how many people, food/refreshments/etc. All rooms available should be in the conference center (no fee). Action: Mark C will determine available rooms and times and send that around to Excom.
Chapter of the Year app: Should decide if we want to apply, and will need to start the application process.
Insurance with Canadian chapter: Canadian chapters are being charged $1500 for insurance, US chapters are charged $150.
Website Update: Update at will.
