Officer Reports -
President – Mark Celedonia: Working on web design, proposal for a 1-day conference, fielding inquiries from other organizations interested in sponsorship from the chapter.
President Elect – John Morgan: John is working with Bryan B to get the registration site up and running for the 2012 AGM using 123signup. We may have to register with them again unless someone has the username and password from the 2010 meeting? If so please pass it on to John.
John attended the Northwest Fish Culture Conference at Victoria last week (Dec 6-8) and promoted the 2012 AGM. The BC Freshwater Fisheries Society (responsible for the BC trout hatcheries that stock our lakes for fishing) is very interested in participating (eg. session chairs, talks) and John will send them the symposia info (Adrian Clarke, vp Science and Tim Yesaki, vp operations are the contacts there). Also, Hoskin Scientific is interested in being an exhibitor at the trade show and John will send them Lisa’s info (Frank van der Have is the contact). There is another organizational meeting with the SER folks this Thursday (Dec 16), after which John is hoping to get the registration, abstracts and first call for papers up before the holiday break.
Vice President – Brian Missildine: The 2012 AGM chairs are meeting this Thursday. He has not yet received inquiries for symposium. He is working on options for the 2013AGM site.
Past President – Mark Pedersen: Mark has been busy with the Jan 21st BBQ planning. He will be sending out a Save-the-Date announcement. He is also working on 2012 AGM sponsors along with Eric Knudsen.
Treasurer – Emily Pizzichemi: Out in field.
Secretary – Lisa Harlan: Lisa sent out draft Nov 22nd minutes, and is working on compiling edits from the Excom Retreat minutes. She will be meeting for 2012 AGM planning tomorrow. She will be attending the River Restoration Northwest Conference January 31 – Feb 2 at Skamania Lodge in the Columbia River Gorge. She will get to Hilton Conference center in the next two weeks and send the info to Brian.
Communications Officers– Orlay Johnson / Stephanie Caballero: Orlay will start advertizing the BBQ on the website. He was supposed to conference call with Ali Wick regarding the 2012AGM but had mis-communication on time zones. Student chapters – Orlay has talked to Jessica and Chris. He is still doing more outreach to Simon Fraser and UBC. John Morgan is working on University of Vancouver Island as well as UVic student sub-units. The newsletter is pretty much ready to send out but they would still like more content. Stephanie: reviewing the newsletter and will get it back to Orlay within a day or two.
Student Sub-Unit Representative – Chris Clark: Chris is out of the country for the month of December.
Committee Reports
2012 AGM UVic Planning Committee – Need for a conferencing line for some of the sub-committees. Should be covered in MOU for splitting costs. Ali Wick is currently providing a conference number for the planning committee.
2013 AGM Time and Place – Mark P talked to Campbells Lodge in Lake Chelan who will be sending a proposal for 2013.
Website Redesign – Mark C has had lengthy conversations with 5 designers, and has received quotes from 3 so far. About 60 days lead time is standard for the web design to be done. He is setting up a web re-design team – Mark C, Brian, Emily, Jessica. This core group will make a recommendation to Excom then Excom will vote. The core group will select a designer by mid-Jan.
Unfinished Business:
FY2012 Budget – Excom needs to look at options for spending the income generated by the Seattle conference. We need to hold enough seed money for next years AGM – $20-30,000. Mark C will send out an updated budget which Excom can review for approval the next meeting.
Student Sub-unit structure update – Mark P looked into how these are structured. He passed along the protocol sent out by national – first get a faculty rep who must be an AFS member, then draft by-laws, which are sent out to Excom for approval. Once approved, they are an official student sub-unit.
Life Membership for Jim Shannon – Jim will apply for lifetime membership and then will be re-imbursed.
New Business:
One-day Workshop proposal – Mark C has been in touch with USFWS and WDFW folks – a lot of interest in a workshop on the Olympic mudminnow, which is a WA state species of concern. The workshop would involve talks, a panel, and have a goal of increasing awareness of this species. They are thinking of holding it at Evergreen College, but not provide food. We might want to charge something in order to make people commit and to keep the audience to those with sincere interest.
Outstanding Chapter Award – Due in mid-February. Mark P and Lisa are considering leading this up.
Announcements: WA-BC Chapter Salmon BBQ & Beer Party. Date set: January 21. Venue: Magnuson Park, Sand Point Naval Air Station.
Action Items for next meeting:
Action – Mark C will send out an updated budget which excom can review for approval next meeting.
Action – Lisa will get to Hilton Conference center in the next two weeks and send the info to Brian.
Next Teleconference: January 10, 2012, 9:00am – 10:00.
