EXCOM Teleconference Meeting Minutes

Minutes: Approved minutes for March 22th, 2011 done via email.

 

Officer Reports  (20 minutes)

President – Mark Pedersen: Attended UW student section meeting 4/8 for the graduate student metamorphosis seminar; distributed scholarship applications to WA and BC outlets; working with Eric on 2011 fundraising; made contacts with local VIP invites to 2011.

President Elect – Mark Celedonia: He penciled us in for a WA-BC Business Meeting on Monday, Sept. 5 from 12:00 pm – 1:15 pm during the Seattle 2011conference.  The time corresponds with the lunch break.  He is still working with the accommodations committee to nail down some prices for food.

He has been working (feverishly) on Seattle 2011 Master Scheduling.  He completed a Schedule at a Glance that was due this past Friday for inclusion in the big June Fisheries Magazine Annual Meeting Supplement.

Vice President – Yvonne Muirhead: Contributed to the OCA application.

Past President – Jim Shannon: Update:

·         One candidate has thrown his hat in the ring for VP. No other candidates yet. May need to extend the deadline beyond April 15. Please seek out other potential candidates.

·         Spawning Run will be at Alki in West Seattle.

·         Helped with COTY award.

·         No progress on grant for restoration project post construction monitoring.

·         No progress on award for habitat restoration project of the year.

·         Need to send out a solicitation for awards for 2010-2011. Awards given out at business meeting in Sept.

Treasurer – Erin Lowry: No report (Erin emailed in his apologies for absences due to extensive field work, projected through the summer. If there is anything the chapter needs from him please let him know via e-mail or phone 206-818-7539 and he’ll try his best to make it happen in a timely manner.

Secretary – Lisa Harlan: has been working on the Outstanding Chapter Award application with help from Geraldine VanderHaegen, Jim, and Yvonne- thanks very much to all of them!  She will send a draft out to Excom before Friday for review.  She has been doing some work on the Social Responsibility Committee. She voted to approve the March 22 minutes.

Communications Officer– Orlay Johnson: The newsletter has been done (thanks for the editing Mark P), but we had to wait for approval from the AIFRB board for one article and then it had problems loading onto the website, which Bryan is checking into.  There are a ton of links and they may be causing problems.  Plus I think there is a better way to format the whole document (I double columned part and single columned part) as well as using PDF instead of Word.

We are also working on the next Newsletter which will focus on the National Meeting.  I hope to have that out the beginning of June.

Student Sub-Unit Representative – Nicole Casper: We now have 35 members of our AFS chapter at Western Washington University. We have been having weekly meetings since the quarter started and have attendance of 6-12 people each week. There are many ideas for activities for this quarter. I’ll include the minutes from the last meeting below to give you a sense.

I have checked in with Caroline at UW to see how the application for best student chapter is going – have not heard back yet.

I intend to contact a friend at NW Indian College who is a chemistry professor to see about interested students for another potential student chapter but still have yet to do that!

Old Business: (35 minutes)

Discussion of co-convening with SER for 2012 – Yvonne. She has reviewed the proposed logo for the meeting and would like to get input from ExComm. The theme relates to invasive species: ExComm needs to provide feedback regarding a title. Yvonne will provide a floor plan for the UVic venue and will try to visit soon to take a look at the dorm rooms.

Vote on 2011 auction loan – MSC

Chapter Scholarship program implementation – VIU strike is now over and John Morgan can start distributing to institutions in BC. WA student subunits are distributing within their respective schools.

WDiv scholarships and grants available – please check out the WDiv website for details.

Student subunit national award –Carolyn Storer at UW subunit is pursuing (it was submitted)

Time/place for our 2011 Chapter business meeting: See Mark C report above

Habitat enhancement support grant: would like to require the grant be used for post construction monitoring of a fish habitat project. Would like $5,000. Discussion deferred.

New award for Chapter: Habitat Restoration Project of the year. To be submitted to ExCom for review with other annual awards. Discussion deferred.

New Business: (10 minutes)

Mark C: I think our budget includes sponsorship for the USFWS Youth Fisheries Academy Day Camps.  If it does, and we intend on sponsoring them again this year (which I think we should), this should be reflected in the OCA application.

Lisa et al. – great work on the OCA ap!  I will try very hard to look at it more closely before Thursday and provide comments.
